Program Support Assistant

Major duties to include but not limited to:
Calculates obligations against expenditures, performs trend tracking and reporting, evaluates data compilation results, and recommends procedure enhancements to meet workload demands and program goals; Serves as the subject matter expert for daily scope tracking data which includes performance test results on all SPS department equipment, i.e., washers, ultrasonics and sterilizers, scheduled OR cases, delayed cases and cancelled cases due to missing instrumentation, occupational health incidents on pokes and exposures, daily scope tracking data, instrumentation purchase agreements and pay for performance instrument repair contracts; Responsible for data by interpreting, planning and applying policy to meet program metrics and budgets by applying data collection standardized practices and issuing reports; Develops and maintains databases based on daily scope tracking data collection and reviews operating information of the Service Line ensuring information is readily accessible by SPS and patient care service leaders and supervisors and supports business decision making. Resolves discrepancies of data presented using cross checks built into the reporting mechanisms; Communicates and meets with clinical personnel to determine any increases/ decreases in demand for instruments to meet patient procedure needs; Supports administrative activities utilizing various large databases and computer applications including spreadsheets, databases, correspondence, charts, and presentations; Responsible for data entry of site audits in SPS, clinical procedure areas throughout the hospital, and at the CBOC's where reusable medical equipment is used; Decides appropriate methods for automating reports with data on budget, purchase orders, travel, workload, etc. using a variety of software packages and modifies the tracking system to correct problems, or establishes a database management system to improve tracking; Analyzes and integrates program financial, technical and workload information; Monitors and tracks finances associated with implementation of SPS initiatives and purchases of instrumentation needed for efficient patient care services throughout the VAMC. Participates, tracks and monitors development of office and program budget for staffing, equipment, travel, etc; Reviews statistical and demographic data, documents, reports, and applications for omissions and inconsistencies to support program development and recommends establishing administrative goals and objectives; The incumbent serves as the ADPAC for the SPS Service Line. Creates and manages computer access accounts for employees which have different access requirements due to job assignments. Responsible for routine maintenance of employee computer access accounts including regular review of program access and employee training compliance; Communicates and coordinates activities between SPS and facility departments as well as to other service lines within the hospital; Performs a wide variety of administrative tasks associated with office work, CPRS, Outlook and consults; Prepares/ maintain all monthly and quarterly reports sent to the VISN, VACO, Nurse Executive and the SPS Chief; Coordinates schedules and arranges meetings between SPS staff or outside bodies/ agencies necessary for supporting regular and ad hoc activities; Maintains a government purchase card for departmental use; Responsible for the coordination of the personnel paperwork and tracking for the department, including coordination of performance systems and other ad hoc assignments. Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
providing information and analysis for short and long-range planning, making recommendations for improving workflow, completing assigned special projects, performing general clerical and assistant support of a fiscal nature, creating and researching accounting records, collecting, compilation, and/or tracking of data and statistical information, providing assistance and service to the general public, staff members, and communicating information to the Executive Leadership, facility staff, and outside stakeholders.
